Construction Office Administrator

RESPONSIBILITIES

Maintain job files on computer system, as well as company’s contact database. 
Check emails and fax’s for:  RFPs, Communication for Estimating, and respond or forward accordingly.
Know the Bid Solicitation Program (PTSB) and call/solicit subcontractors to invite them to bid.
Track the bidding process by insuring there are bids and no deficiencies.
Maintain all contact information in Outlook and update Timberline.
Order supplies for the office and field personnel.
Maintain drawings/files and addendums, and notarize documents.
Answer phones in a professional manner
Act as the liaison between the field and office personnel
Create and maintain a filing system
Enter payroll for all jobs
Enter invoices in the system and Maintain all Accounts Payable files

QUALIFICATIONS

Must be able to multi-task and be flexible around priorities.
Must have excellent customer services skills
Excellent organization skills.
Highly detail-oriented.
A self-starter.
Comfortable making contact with clients and companies via phone. 
A High School Diploma is required. Some college preferred.
3 year of administrative experience in the construction industry is required.
Familiarity with construction drawings/plans is strongly desired.
Must be proficient in the Microsoft Office applications
Experience with Timberline & Estimating Software is a plus.
